Event Personal Data Privacy Notice
The International Centre for Settlement of Investment Disputes (“ICSID,” “we,” “us,” or “our”) values the privacy of your personal data and strives to protect it in accordance with this Event Personal Data Privacy Notice (“Notice”), which adheres to the core privacy principles set forth in the Personal Data Privacy Policy of World Bank Group Institutions (“WBG Privacy Policy”). To carry out its activities, ICSID processes personal data. “Processing” includes collection, storage, use, transmission, disclosure or deletion.
This Notice applies to the personal data processed by ICSID when you register for and participate in an ICSID event and your involvement in related activities.
Information processed by ICSID
ICSID processes personal data received directly from you, including information entered during event registration or participation and communications activities (e.g., annual report, website, social media channels, blog, and newsletter). For the purposes of this Notice, “personal data” refers to any information relating to an identified or identifiable individual pursuant to the WBG Privacy Policy.
How does ICSID process the personal data you provide when you register for an event?
ICSID and third parties working with us may process your personal data in the following ways:
To communicate with you, including via email notifications and updates, about the event you registered for;
To create and manage your personal account for the event you registered for, if applicable;
To send you a formal invitation letter, if applicable;
To provide you with agenda, knowledge resources (e.g., knowledge products, video links) and other administrative documents related to our events;
To provide technical support to you before and during an event;
To make logistical arrangements, if applicable;
To contact you occasionally to invite you to share your opinions and experiences with regard to our events;
To use your information in an aggregated and anonymous format to evaluate and improve our events and activities;
To contact you occasionally to invite you to join our future events (with your consent);
For our internal reporting purposes;
As reasonably necessary for the management and organization of the specific event for which you registered;
For any other purpose to which you consent in connection with the specific event.
To whom does ICSID disclose the personal data you provide when you register for an event?
ICSID does not sell or otherwise disclose personal data processed as set out above, except as described in this Notice, with external service providers we collaborate with in organizing our events.
By registering for an event, you agree that ICSID may disclose the personal data you provide to:
co-organizers of the event as reasonably necessary for the management and organization of the specific event for which you registered;
external service providers assisting ICSID with the specific event, subject to contractually agreed conditions of confidentiality and security; or
other third parties for which you consent to disclosure in connection with the specific event.
ICSID requires its service providers to appropriately safeguard the privacy and security of personal data they process on its behalf.
Audio and Visual Recording; Live Streaming
Photos and videos may be taken or live-streamed during ICSID events and published on the ICSID website, social media sites and co-organizer’s online platforms. They may also appear in various media including ICSID publications, social networks and press, in connection with a specific event, or for further institutional purposes as well as for promotional activities of ICSID. By attending an ICSID-organized (or co-organized) event, you agree that you may appear in photos and/or videos that are streamed, published or reproduced as stated above.
Storage and Retention of Personal Data
Your personal data will be stored as long as necessary to fulfil the purposes for which the data is collected, and to satisfy any legal, accounting, reporting or archiving requirements, in compliance with the retention policies of the World Bank Group and ICSID.
ICSID maintains appropriate technical and organizational safeguards against unauthorized processing, accidental loss, destruction or damage of personal data.
Review and Redress Mechanisms
Under the WBG Data Privacy Policy and ICSID Data Privacy Directives, you may, subject to certain limitations and conditions: (i) request to review information regarding the processing of your personal data pursuant to this Notice; and (ii) seek redress if you believe that your personal data has been processed in violation of the WBG Data Privacy Policy or ICSID Data Privacy Directives. To make a request, contact the ICSID Data Privacy Team at icsiddataprivacy@worldbank.org. We will make all reasonable efforts to address your request promptly.
For security, we may request to verify your identity before we respond to your request.
Changes to This Privacy Notice
ICSID may amend or update this Notice periodically to reflect website improvements or changes to the WBG Data Privacy Policy. We will post an updated version of the Notice on our Website, but individual notifications will not be issued. This Notice is current as of the date at the bottom of this page.
